This Enterprise Cookies Policy (this “Cookies Policy”) explains how Intello Legal (“Intello Legal,” “we,” “us,” or “our”) uses cookies and similar tracking technologies on the Intello Legal web application, marketing website, and related digital properties (collectively, the “Platform”). It is incorporated by reference into, and should be read together with, the Enterprise Terms and Conditions of Service and the Enterprise Privacy Policy. It describes the categories of cookies and similar technologies used, the purposes for which they are used, how consent is obtained where required by applicable law (including the Digital Personal Data Protection Act, 2023 of India, the GDPR, and the UK GDPR), and how individuals can exercise control. This Cookies Policy applies to visitors and users of the Platform, and does not govern cookies set by Third-Party Services that Customer elects to integrate with the Services, which are governed by the relevant third party's own practices.

1. What Are Cookies and Similar Technologies

1.1 Cookies

1.1.1 “Cookies” are small text files placed on a device by a website or web application, which are sent back to the originating website on subsequent visits. Cookies enable a website to recognize a user's device, remember preferences and actions over time, and support core functionality, security, and analytics.

1.2 Similar Technologies

1.2.1 In addition to Cookies, the Platform may use related technologies that perform a similar function, including:

  • Web beacons and pixel tags: small graphic images embedded in web pages or emails that record when content has been viewed;
  • Local storage and session storage: browser-based storage mechanisms that allow data to persist within a browser without being transmitted with every request;
  • Software development kits (SDKs): code embedded in mobile or desktop applications that perform functions analogous to cookies, including analytics and crash reporting; and
  • Device fingerprinting: techniques that may use device and browser characteristics to distinguish devices for security and fraud-prevention purposes.

1.2.2 References to “Cookies” in this Cookies Policy include these similar technologies, except where the context indicates a narrower meaning.

1.3 First-Party and Third-Party Cookies

1.3.1 “First-Party Cookies” are Cookies set directly by Intello Legal. “Third-Party Cookies” are Cookies set by a domain other than Intello Legal's, typically by a Third-Party Service provider engaged by Intello Legal to provide analytics, security, or similar functionality, as described in Section 4.

2. Categories of Cookies We Use

The categories of Cookies used on the Platform, their purpose, and whether they can be disabled, are summarized below. Detailed information regarding specific Cookies, including their names, providers, and retention periods, is made available through the Platform's Cookie consent management tool.

2.1 Essential Cookies

2.1.1 Essential Cookies are strictly necessary for the operation of the Platform and cannot be switched off through Cookie consent settings. They include those used to maintain an authenticated session, enable load balancing and routing, remember items in progress within a single session, apply security measures (such as detecting cross-site request forgery attempts), and record Cookie consent preferences themselves.

2.1.2 Because Essential Cookies are necessary to deliver the Services that Customer has subscribed to, they are not subject to opt-out consent under applicable law, consistent with the treatment of strictly necessary cookies under the GDPR, UK GDPR, and the DPDP Act.

2.2 Functional Cookies

2.2.1 Functional Cookies allow the Platform to remember choices made by Authorized Users, such as language preference, display settings, recently viewed documents, and workspace configuration, to provide a more personalized experience.

2.2.2 If Functional Cookies are disabled, certain features may not remember user preferences between sessions, and some convenience features may not operate as intended.

2.3 Performance Cookies

2.3.1 Performance Cookies collect information about how the Platform is used, including page load times, error rates, and feature responsiveness, in order to help Intello Legal identify and resolve technical issues and improve overall performance.

2.3.2 Information collected by Performance Cookies is generally aggregated and used for diagnostic and product improvement purposes, consistent with the Privacy Policy.

2.4 Analytics Cookies

2.4.1 Analytics Cookies help Intello Legal understand how Authorized Users interact with the Platform, including which features are used most frequently, navigation patterns, and conversion through onboarding flows, in order to inform product development decisions.

2.4.2 Analytics Cookies may be provided by Intello Legal directly or by Third-Party Service analytics providers, as further described in Section 4.

2.5 Security Cookies

2.5.1 Security Cookies support Intello Legal's efforts to detect and prevent fraudulent activity, credential abuse, unauthorized access attempts, and other security threats to the Platform.

2.5.2 Security Cookies are treated as Essential Cookies for purposes of consent because they are necessary to protect the integrity and security of the Services, including the Customer Data processed therein.

2.6 Session Cookies and Persistent Cookies

2.6.1 “Session Cookies” are temporary Cookies deleted automatically when the browser session ends, used primarily for authentication and to maintain state during a single visit.

2.6.2 “Persistent Cookies” remain on a device for a defined period, or until manually deleted, and are used to recognize a returning user or device across multiple sessions, such as for remembering login state (subject to applicable session timeout policies) or display preferences.

2.6.3 The specific retention period applicable to each Persistent Cookie is made available through the Platform's Cookie consent management tool, and in no event exceeds the period reasonably necessary for the purpose for which the Cookie was set.

3. Cookie Consent

3.1 On first visiting the Platform, individuals are presented with a Cookie consent banner or similar mechanism that allows them to accept all Cookies, reject all non-essential Cookies, or customize their preferences by category, consistent with the requirements of the GDPR, UK GDPR, and applicable guidance under the DPDP Act.

3.2 Essential and Security Cookies, as described in Sections 2.1 and 2.5, are deployed regardless of consent status, because they are necessary for the Platform to function and for the protection of the Services.

3.3 Where an individual accepts or customizes Cookie preferences, such preferences are recorded and respected for subsequent visits until the individual changes their preferences, clears their browser storage, or the consent record expires in accordance with Section 3.5.

3.4 Individuals may change their Cookie preferences at any time by accessing the Cookie preference center, typically available via a persistent link in the Platform's footer or settings menu, or by adjusting browser-level controls as described in Section 5.

3.5 Consent preferences recorded through the Cookie preference center are retained for a period of twelve (12) months, after which the individual will be prompted to reaffirm their preferences upon next visiting the Platform.

3.6 Where Customer's Authorized Users access the Services as part of an enterprise deployment, Customer's Administrator may, where the Services support such functionality, configure organization-wide Cookie and tracking preferences consistent with Customer's own internal policies, without prejudice to each Authorized User's individual rights under applicable law.

4. Third-Party Cookies

4.1 Intello Legal engages a limited number of Third-Party Service providers to support analytics, performance monitoring, and security functions on the Platform. These providers may set their own Cookies when an individual visits the Platform, subject to the same consent mechanism described in Section 3.

4.2 Categories of Third-Party Cookie providers currently or prospectively used on the Platform include:

  • Web analytics providers, used to understand aggregate usage patterns and improve the Services;
  • Application performance monitoring and error-tracking providers, used to detect and diagnose technical issues;
  • Customer support and live chat providers, used to facilitate support interactions initiated by Authorized Users; and
  • Security and bot-detection providers, used to identify and mitigate automated abuse and credential-stuffing attempts.

4.3 A current list of named Third-Party Cookie providers, including their specific Cookie names, purposes, and retention periods, is available through the Platform's Cookie preference center or upon request at intellolegal@gmail.com.

4.4 Intello Legal does not control the Cookies set by Third-Party Service providers and is not responsible for their privacy or cookie practices. Individuals are encouraged to review the relevant third party's own cookie and privacy disclosures for further detail.

4.5 Where Customer enables an integration with a Third-Party Service not described in Section 4.2, such as a third-party document management or e-signature platform, any Cookies set by that integration are governed by the relevant third party's own cookie practices and are outside the scope of this Cookies Policy.

5. Browser Controls

5.1 In addition to the Cookie preference center described in Section 3, most web browsers allow individuals to control Cookies through their browser settings, including blocking all Cookies, blocking Third-Party Cookies only, or deleting Cookies after each browsing session.

5.2 Guidance on managing Cookies is generally available through each browser provider's help documentation. Because the specific steps vary by browser and version, individuals should consult their browser's official support resources for current instructions.

5.3 Customer and Authorized Users should be aware that disabling Essential Cookies at the browser level, as opposed to through the Cookie preference center, may prevent the Services from functioning correctly, including the ability to log in, maintain a session, or access certain features. Intello Legal is not responsible for any disruption resulting from browser-level Cookie restrictions applied outside of the Cookie preference center.

5.4 Many browsers and devices also support “Do Not Track” signals and similar global privacy control mechanisms. Where required by applicable law, including recognized global opt-out signals under the CCPA, Intello Legal will honor valid signals received through the Platform to the extent technically feasible. The Services are designed for business and professional use and do not engage in cross-context behavioral advertising.

6. Cookie Retention

6.1 Cookie retention periods vary by category and specific Cookie, as set out in the detailed Cookie tables made available through the Platform's Cookie preference center. As a general matter:

  • Session Cookies are deleted automatically when the browser session ends;
  • Authentication-related Persistent Cookies are typically retained for a period consistent with Customer's configured session timeout policy, or up to thirty (30) days by default;
  • Analytics and Performance Cookies are typically retained for up to thirteen (13) months; and
  • Cookie consent preference records are retained for up to twelve (12) months, as described in Section 3.5.

6.2 Intello Legal periodically reviews Cookie retention periods to ensure they remain proportionate to the purposes described in this Cookies Policy and consistent with applicable data minimization requirements.

7. Future Marketing Cookies

7.1 As of the date of this Cookies Policy, Intello Legal does not use Marketing Cookies for targeted advertising or cross-context behavioral advertising purposes on the Platform. Should Intello Legal introduce Marketing Cookies in the future, this Cookies Policy will be updated prior to deployment to describe their purpose, providers, and retention periods.

7.2 Any future Marketing Cookies will be deployed only with appropriate consent obtained through the Cookie preference center described in Section 3, and individuals will be able to decline such Cookies without affecting their ability to use the core functionality of the Services.

7.3 Intello Legal will not, now or in the future, use Customer Data uploaded to the Services for advertising or marketing-targeting purposes. This Section 7 relates exclusively to Cookies that may be deployed on the public marketing website or within the Platform's general browsing experience, and does not extend to the contents of documents or files uploaded as Customer Data.

8. Changes to This Cookies Policy

8.1 Intello Legal may update this Cookies Policy from time to time to reflect changes in the Cookies and similar technologies used on the Platform, changes in applicable law, or changes in Third-Party Service providers. Material changes will be reflected by an updated “Last updated” date and, where required by applicable law, will be accompanied by a renewed consent prompt through the Cookie preference center.
